Search Atlas requires you to complete client activation before assigning that client to a project. The two actions are linked, but they must happen in the right order. Attempting to add a client to a project before their plan is fully activated is the most common reason this workflow fails.
The full process has three stages:
- Add the client to your white label plan
- Activate their plan inside the White Label dashboard
- Assign the client to a project

Follow these steps in order to avoid errors and ensure your client gets full access.
- From the header, click the More Features (apps-grid) icon and go to Agency Hub (Set up your Agency's White Label).
- Locate the client you have already added and confirm they appear in your client list.
- Find the client's row and look for the plan status indicator. If it reads Inactive or Pending, you must activate it before continuing.
- Click the Activate button (or the toggle) next to the client's name to enable their plan. Wait for the status to update to Active before proceeding.
- Once the status confirms Active, navigate to the project you want to assign this client to.
- Inside the project settings, locate the Client Access or Users section.
- Select the now-activated client from the dropdown list and confirm the assignment.
- The client will receive access to the project and can log in through your white label portal.
🚫 Common Reasons This Workflow Fails
If you're still running into issues after following the steps above, check for these frequent causes:
- Plan not activated first: The client must have an Active status before they appear as an assignable user in any project. Inactive clients will not show up in the project user dropdown.
- Seat limit reached: Your white label plan has a maximum number of active client seats. If you've hit the limit, you won't be able to activate additional clients until you upgrade your plan or deactivate an existing client.
- Pending email verification: If the client has not verified their email address after receiving the invitation, their account may be locked in a pending state. Ask the client to check their inbox, including spam folders, for the verification email.
- Incorrect user role: Clients added under the wrong user role may not be eligible for white label project access. Confirm the client was added with the Client role, not an internal team role.
- Browser cache: After activating a client, refresh the page before attempting project assignment. A stale page load can prevent the newly activated client from appearing in dropdowns.

- The client's status in your White Label dashboard shows Active.
- The client's name appears in the user selection list within the project settings.
