🏷️ Fix White Label Branding After Staff Changes

Last updated on Oct 29, 2026

🏷️ Why old branding keeps appearing

White-label emails, the WordPress plugin, and client-facing screens use the brand profile saved on your agency account. If that profile still lists a former teammate, such as Sarah Shaw, clients keep seeing that name even after you change a logo in one place. A plugin update can also replace a customized install with the last package tied to the saved profile, which makes a manual fix look erased.

Search Atlas or OTTO SEO ads appear when a client site is not fully covered by an active white-label setup. Fix the saved profile first, then push a fresh plugin to every affected site.

⚙️ Update the saved brand profile

Change the source profile before you touch individual client sites. Otherwise the next sync writes the old name back.

  1. Sign in as an agency admin, not a limited client user.
  2. Open your white-label or agency branding settings.
  3. Replace the former employee in every client-facing field: brand name, plugin name, sender or from name, support contact name, logo, and any footer or author text.
  4. Remove the old name from saved email templates and notification signatures.
  5. Save the profile, refresh the page, and confirm the old name is gone before you leave.

Use your agency name as the public contact. Do not leave a personal employee name in any field that clients can see.

🚀 Push branding to plugins and client sites

Editing the profile does not rewrite plugins that are already installed. Each site needs a fresh white-labeled package.

  1. Download or regenerate the plugin from the updated white-label profile. Do not reuse an older zip from your computer.
  2. On each affected WordPress site, install that new package over the existing plugin. Keep the site connected to the same project so settings are not lost.
  3. After it updates, check the plugin name, author, and any in-plugin support text.
  4. Send yourself a test notification and confirm the from name and signature use the new brand.
  5. Repeat for every client who reported the old name. One corrected site does not update the others.

If an update later restores the old name, the site is still installing an outdated package or syncing an old profile. Regenerate the package from the saved profile and reinstall it. Avoid editing plugin files by hand, because the next update will overwrite those edits.

📊 Remove Search Atlas and OTTO SEO ads

Clients see product ads when white label is incomplete for that project. Confirm all of the following:

  • White label is enabled on the agency account and applies to the client project.
  • The site uses your branded plugin, not a standard Search Atlas or OTTO SEO install.
  • The project is linked to the correct agency, not an old personal or employee login.
  • The client is viewing the site while logged in through your white-label access, not a direct product account.

Open the client view after saving and look for the OTTO SEO and Search Atlas names in the plugin screen, emails, and dashboards. Update anything that still shows them.

💡 Check that the fix will stick

  • Search your branding settings for the former employee name and clear every match.
  • Regenerate the plugin after the final save, not before it.
  • Update every client site that was installed while the old profile was active.
  • Send a test email and review the plugin screen in a private browser window.
  • Ask one client to confirm what they see before you close the issue.
