This article explains how to set up client access correctly and why billing information should never be shared through a team member role.

⚠️ Why Billing Information Must Stay with the Account Owner

A common issue occurs when a team member is granted permissions that are too broad, allowing them to view billing and subscription details intended only for the account owner. To prevent this:

  • Billing information is tied exclusively to the account owner login.
  • Team members and White Label clients should be added through their own dedicated access pathways — not as account owners or admins with full permissions.
  • Always review the permission level assigned to each team member before sending an invitation.

🛠️ How to Set Up White Label Client Access

Follow these steps to give a client access through the White Label feature without exposing sensitive account data:

  1. Log in to Search Atlas and navigate to More Features → Agency Hub (Agency Settings).
  2. Locate the White Label section in the Agency Settings menu.
  3. Enter your client's details, including their name and email address.
  4. Configure the branding options — upload your logo and set your brand colors so the client sees your agency's identity, not Search Atlas.
  5. Assign the client access only to the specific projects or reports they need. Do not grant admin-level permissions.
  6. Send the invitation. Your client will receive a branded login link scoped to their allowed content only.

👥 How to Manage Team Member Permissions

Team members are internal users — such as employees or contractors — who need access to work inside your account. Their permissions should be set carefully:

  1. Go to Account Settings and open the Team Members section.
  2. Click Invite Team Member and enter their email address.
  3. Select a permission level that matches their role. Avoid assigning Admin access unless the person genuinely needs full account control, including visibility into billing.
  4. For most team members, choose a limited or project-specific role that restricts access to billing, subscription details, and account ownership settings.
  5. Click Send Invite. The team member will receive an email to set up their login.

📊 Sharing Reports with Clients Safely

If your goal is simply to share SEO reports with a client rather than giving them a login, you can use the Report Builder instead:

  • Navigate to Reports in the left sidebar (or go to /report-builder/projects-list).
  • Open the relevant report (Executive Summary) and click Share & Export.
  • Generate a shareable link that gives the client read-only access to that specific report — no login required.
  • This method is ideal for clients who only need to review results, not interact with the platform.

✅ Best Practices for Access Management

  • Account owner credentials should never be shared. Only one person should hold the owner login — the person responsible for billing and the subscription.
  • Use White Label client access for external clients who need a branded platform experience.
  • Use Team Member roles for internal staff, and always apply the least-privilege principle — grant only the access each person needs.
  • Periodically audit your team member list and remove anyone who no longer needs access.
  • If a client reports seeing billing information, review their permission level immediately and downgrade it to a restricted role.
