📋 Overview
If articles have left your publication queue without an obvious alert, don't worry. In most cases the content has not been deleted. It has been moved to a different status because of an automated rule, an integration issue, or a queue setting. This article explains why this happens and walks you through how to locate, restore, and re-publish your articles.
❓ Common Reasons Articles Leave the Queue
Articles can be removed from the active publication queue for several reasons:
- Failed publishing checks: If an article fails a required field, SEO, or formatting check at publish time, it is moved back to Drafts instead of going live.
- Publisher rejection: If a publisher manually rejects a publication, the article is removed from the active queue. In the past this could happen without a notification being sent; publisher-rejected articles are now automatically added back to the auto-assignment queue so they can be reassigned and re-submitted.
- Disconnected CMS integration: If the connection to your CMS (such as WordPress) expires or loses authorization, queued articles cannot publish and are returned to a pending state.
- Scheduling conflicts: When two articles are scheduled for the same slot, or a scheduled date has passed, the article may be unscheduled automatically.
- Bulk actions or filters: A bulk status change, or a saved filter that hides certain statuses, can make articles appear to be missing when they are simply filtered from view.
- Permission or seat changes: If the assigned author's access changes, their articles may be unassigned and removed from the active queue.
🔎 How to Find Your Missing Articles
Before restoring anything, confirm where your articles currently sit.
- Open Content Genius (or your relevant content tool) and go to the Articles dashboard.
- Clear any active filters by selecting All Statuses and All Authors.
- Use the search bar to enter each article ID (for example, 200101) one at a time, or paste the title.
- Check the status column. Articles usually move to Draft, Unscheduled, Failed, or Unassigned rather than being deleted.
In nearly all cases your content is still present and recoverable from one of these statuses.
♻️ How to Restore Articles to the Queue
Once you have located the articles, follow the steps below to return them to your publication queue.
1. Reassign the Author
- Select the affected articles using the checkboxes.
- Choose Reassign from the bulk actions menu.
- Pick an active team member with publishing permissions.
2. Re-add to the Publication Queue
- With the articles still selected, click Add to Queue or Schedule.
- Choose a publish date and time, making sure no two articles share the same slot.
- Confirm your changes.
3. Resolve Any Publishing Errors
- Open each article flagged as Failed.
- Review the error message at the top of the editor (for example, a missing title tag or disconnected CMS).
- Fix the flagged issue, then save and re-queue the article.
🔌 Reconnect Your CMS Integration
A disconnected CMS is one of the most frequent causes of stalled queues. To check and restore it:
- Go to Settings > CMS Connectors.
- Locate your CMS connection and check its status.
- If it shows Disconnected or Expired, click Reconnect and re-authorize access.
- Return to the queue and re-publish your articles.
🛡️ How to Prevent This in the Future
- Turn on queue notifications: In Settings > Notifications, enable alerts for failed publishes and status changes so you are informed immediately.
- Review the queue regularly: Your account also runs an automated weekly publication health check that flags stalled or failed articles after a short grace period, but a quick manual weekly check still helps you catch unscheduled or failed articles early.
- Keep integrations authorized: Reconnect your CMS promptly whenever you change passwords or update permissions.
- Avoid duplicate schedule slots: Use the calendar view to confirm each article has its own time slot.
- Confirm author access before offboarding: Reassign articles before removing a team member's seat.
