🔍 Overview
When you upload a keyword list in Search Atlas, the platform queues and processes your file in the background. Processing is not always instant — depending on list size and current system load, it can take anywhere from a few minutes to several hours. This article explains expected processing times, what can cause delays, and what to do if your list has not loaded after more than a day or two.
📋 Where to Find Your Uploaded Keyword Lists
You can view and manage your uploaded keyword lists in two locations depending on the tool you are using:
- Rank Tracker: Left sidebar → Keywords → Rank Tracker
- Keyword Researcher: Left sidebar → Keywords
Navigate to the relevant tool and look for your list in the keyword list panel. If it is still processing, you will see a loading indicator or a Processing status next to the list name.
⏳ Expected Processing Times by List Size
Processing time depends primarily on the number of keywords in your uploaded file. Use the table below as a general guide:
- Up to 500 keywords: Typically ready within 5–15 minutes
- 500–2,000 keywords: Typically ready within 15–60 minutes
- 2,000–10,000 keywords: Typically ready within 1–4 hours
- 10,000+ keywords: May take up to 24 hours depending on system load
These are standard estimates under normal system conditions. Actual times may vary.
⚠️ Factors That Can Affect Processing Time
Several factors may cause your upload to take longer than the estimates above:
- High system load: During peak usage periods, processing queues may be longer than usual.
- File formatting issues: Uploads with inconsistent formatting, extra columns, or unsupported characters may take longer to parse.
- Large batch uploads: If multiple large lists are uploaded at the same time, each will be queued sequentially.
- Duplicate keywords: A high volume of duplicate entries can increase processing time as the system deduplicates the list.
✅ What to Do While You Wait
While your keyword list is processing, you can continue using other areas of Search Atlas without interruption. You do not need to stay on the page — the processing continues in the background. When the list is ready, it will appear automatically the next time you open the relevant tool.
To confirm the upload was received correctly, check the following:
- Navigate to the tool where you uploaded the list (Rank Tracker or Keyword Researcher).
- Look for your list name in the keyword list panel.
- If a Processing or Pending status is visible, the upload was received and is in the queue.
- If no entry appears at all, the upload may not have completed — try uploading the file again.
🚨 When to Escalate: The 48-Hour Rule
In the vast majority of cases, keyword list uploads — regardless of size — complete within 24 hours. If your list has been in a Processing or Pending state for more than more than a day or two, this is outside the expected service level and should be escalated to the support team.
Before escalating, please have the following information ready:
- The name of the keyword list you uploaded
- The approximate number of keywords in the file
- The date and time you uploaded the file
- The tool you used (Rank Tracker or Keyword Researcher)
- A screenshot of the current status if one is visible
