👥 Team Member Access: What You Need to Know

🔑 How Team Member Access Works in Search Atlas

When you add a team member to your Search Atlas account, they receive account-level access. This means they can view and interact with all sites and projects within your account — there is currently no way to restrict a team member's access to a single site or a specific subset of sites.

This applies to all team members you invite, regardless of their role.

⚠️ What Is Not Currently Possible

At this time, Search Atlas does not support:

  • Restricting a team member to one specific site or project
  • Setting site-level or project-level permissions per user
  • Creating read-only roles scoped to individual sites
  • Custom permission tiers that limit which sites a user can see

If you have seen instructions describing steps to configure these settings, please disregard them — those controls do not exist in the platform.

✅ What You Can Do Instead

While granular site-level permissions are not available, here are some practical options depending on your situation:

  • Separate accounts: If a contractor or client should only ever access one site, consider managing that site under a separate Search Atlas account dedicated to that project.
  • Internal access policies: Set clear internal guidelines with your team about which projects each person should work on, even if the platform does not enforce this technically.
  • Limit sensitive data: Avoid adding external users as team members if your account contains sites or data you do not want them to see.

➕ How to Add a Team Member

If you still want to add a team member with the understanding that they will have full account access, follow these steps:

  1. Log in to your Search Atlas account.
  2. Click your avatar in the top-right corner.
  3. Select Team Members (Settings).
  4. Click Add member.
  5. Enter their email address and confirm the invitation.

The invited user will receive an email with a link to join your account. Once they accept, they will have access to all sites and data in the account.

🗺️ What's on the Roadmap

Granular, site-level permission controls are a commonly requested feature. While we cannot confirm a specific release date, this type of functionality is on our product team's radar. We recommend checking the Search Atlas changelog and announcements for updates as the platform continues to evolve.
