If a coworker with the same admin role can see filter options that you cannot, the cause is almost never a permissions problem. Search Atlas shows certain filters only when specific conditions are met — such as whether you have active tasks assigned to you, or the current state of the data you are viewing. This article explains the most common reasons filters appear unavailable and walks you through how to restore full filter visibility.

⚙️ Why Filters Appear Differently for Admin Users

Admin access controls what actions you can perform and what data you can reach. It does not guarantee that every filter will be visible at all times. Filter availability is also controlled by contextual conditions — meaning the platform evaluates your current data state before displaying a filter option.

The three most common causes of missing filters are:

  • Task status scope: Some filters, such as Within your weekly tasks, only appear when you have active tasks assigned to your account for the current week. If no tasks are assigned to you, the filter is hidden because it has nothing to act on.
  • Data state differences: Filters tied to campaigns, outreach records, or tracked items only appear when relevant data exists in your view. A coworker who has created or been assigned records will see filters that you do not yet see.
  • UI context mismatch: Filters are sometimes scoped to a specific sub-page or workflow state. Viewing a section at the top level versus drilling into a sub-page can change which filters are displayed.

🛠️ How to Diagnose Your Missing Filters

  1. Check your assigned tasks. Navigate to your task list and confirm you have active tasks assigned for the current week. If your task list is empty, filters scoped to weekly tasks will not appear until tasks are added.
  2. Compare your current page with your coworker's. Ask your coworker to confirm which exact page and sub-page they are on when they see the filter. Even a small navigation difference — for example, being inside Authority → Campaigns versus viewing Authority at the top level — can change the available filters.
  3. Verify you have records in scope. Filters for outreach, inbox items, or campaign data require at least one record to exist in your view. If you have not yet created or been assigned any records in that section, the filter will not render.
  4. Refresh your session. Log out and log back in to clear any cached UI state that may be preventing filters from loading correctly.
  5. Ask your coworker to share their exact navigation path. Use the URL in the browser address bar as a reference. For example, outreach-related filters will behave differently at /outreach/press-release compared to the campaign sub-pages.

📋 Common Filter Scenarios by Section

  • Authority → Campaigns: Filters appear only when active campaigns exist under your account. A newly created account with no campaigns will show an empty filter panel.
  • Authority → Inbox / Sent: Filters for message status or sender are only available once outreach messages have been sent or received.
  • Authority → Cloud Stacks / URL Indexer: Filters are tied to submitted URLs or stacks. No submissions means no filterable data.
  • AI Visibility (Left sidebar → AI Visibility): Filters here depend on tracked queries being active. If tracking has not been set up, filter options will be limited.
  • Weekly task filters: These appear only when tasks are assigned to your specific user account for the active week, regardless of your admin role.

🎥 Accessing Training Recordings You Missed

If you missed a live onboarding session or team training, recordings are made available through your account's training resources area. To access a recording:

  1. Log in to Search Atlas and navigate to your account settings or the onboarding section provided by your workspace admin.
  2. Ask your workspace admin to share the recording link directly, as recording access is managed at the workspace level and distributed by admins.
  3. If your admin is unsure where recordings are stored, they can reach out via the chat widget in the platform to confirm the correct location for your workspace tier.
