🔐 Managing Team Member Access and Project Restrictions

🧭 Overview

Search Atlas uses a straightforward team access model. When you invite a team member to your account, they receive access to all projects within that account. It is not possible to restrict a team member's access to a single project or a subset of projects. There are no project-level permission settings for team members in the platform.

This article explains how team member access works and what options are available if you need to give someone access to only specific projects.

👥 How Team Member Access Works

When you invite a team member through Settings > Team Members, they are added at the account level. This means:

  • They can view and interact with all projects in your account.
  • There is no option to select individual projects during the invitation process.
  • There are no project-specific roles or permission toggles in the Team Members settings.

This design is intentional and applies to all team member roles available in the platform. If you previously read or were told that project-level restrictions exist inside Settings > Team Members, that information is incorrect.

🏷️ The Right Solution: White-Label Client Access

If you need to give someone — such as a client, contractor, or external collaborator — access to only one specific project, the correct tool is the white-label feature. This feature is designed precisely for this use case and keeps your other projects fully private.

White-label access allows you to provide a separate portal scoped to a specific project, so the invited user does not see any other projects in your account. This is the recommended approach for granting limited, project-specific access to external parties.

To get started with the white-label feature, click the apps-grid icon in the header, then go to More Features > Agency Hub (Set up your Agency's White Label). If you need guidance on the specific configuration steps for your account, our support team can walk you through the process.

📋 Choosing the Right Access Method

  • Team Members (Settings > Team Members): Use this for internal colleagues or staff who need full access to all projects in your account.
  • White-Label Portal (Header apps-grid icon > More Features > Agency Hub): Use this for clients, contractors, or external collaborators who should only see a specific project.
