🏢 Overview for Agencies
Search Atlas gives agencies two distinct ways to share SEO progress with clients: Viewer access (a logged-in account seat) and public snapshot links (a shareable URL requiring no login). These serve different purposes, and understanding the difference prevents confusion about what clients can and cannot see.
Additionally, the Report Builder is designed for scheduled PDF or email reports — not for historical comparisons of domain metrics or SEO pillar scores. This article clarifies each option so you can set up the right workflow for your agency.
👤 Option 1: Viewer Access (Recommended for Ongoing Client Visibility)
Viewer access gives a client their own login to your Search Atlas workspace. They can browse dashboards, monitor OTTO progress, and check domain metrics in real time without being able to edit any settings.
- Go to Left sidebar → Home and open your account settings.
- Navigate to the Users & Permissions section of your workspace.
- Invite your client using their email address and assign the Viewer role.
- The client will receive an email invitation and can log in immediately after accepting.
What Viewers can see: live project dashboards, OTTO recommendations and progress, domain metrics, and keyword rankings for any project they have been granted access to.
What Viewers cannot do: edit projects, change OTTO settings, manage billing, or access projects they have not been explicitly invited to.
🔗 Option 2: Public Snapshot Links (No Login Required)
If your client does not want a Search Atlas account, or you need a quick way to share progress without granting login credentials, you can generate a public snapshot link. This produces a read-only URL that captures the current state of the dashboard at the moment it is generated.
Important limitations to understand before sharing:
- A snapshot link reflects data at the time it was created. It does not update automatically as new data comes in.
- To share a more recent view, you must generate a new snapshot link and send the updated URL to your client.
- Snapshot links do not provide a historical timeline or side-by-side comparison of domain metrics or SEO pillar scores across different dates.
- Anyone with the link can view the snapshot — treat it accordingly and regenerate the link if you need to revoke access.
📊 Report Builder: Scheduled PDF and Email Reports
The Report Builder lets you create branded, scheduled reports delivered by email or exported as a PDF. This is the best tool for sending regular progress updates to clients who prefer a document over a live dashboard.
What Report Builder is good for:
- Weekly or monthly automated email reports sent directly to your client.
- PDF exports covering keyword rankings, backlink summaries, and task completion.
- White-labeled reports displaying your agency branding (see White Label section below).
What Report Builder does not support:
- Historical comparisons of domain authority metrics (such as Domain Rating or Trust Flow trends over custom date ranges) — these are not available as a Report Builder module.
- Historical comparisons of OTTO SEO pillar scores across time periods — pillar progress is shown in the live dashboard but cannot be pulled into a historical chart within reports.
If a client asks to see how their domain metrics have changed over several months, direct them to the live project dashboard where trend data is displayed natively, and use Viewer access so they can check it themselves at any time.
🏷️ White Label Setup for Agency Branding
White Label lets you present Search Atlas under your own agency brand — custom domain, logo, and colour scheme — so clients see your brand rather than Search Atlas when they log in or receive reports.
- Go to More Features → Agency Hub → White Label Setup (URL:
/agency-settings). - Under White Label Setup, enter your custom domain and upload your agency logo.
- Configure colours and any additional branding options under Settings.
- Use the Site Analysis Lead Capture Widget to embed a branded SEO audit tool on your agency website.
Migration limitation: If you are moving an existing client workspace to a White Label environment, client project data and historical records do not migrate automatically. You will need to rebuild projects under the White Label workspace or work with our team to plan the transition before switching. Do not activate White Label on a live client workspace without accounting for this — historical data in the original workspace will not carry over to the new branded environment.

- Client needs ongoing, live access: Use Viewer access with a login invitation.
- Client needs a quick, no-login view right now: Generate a public snapshot link, and remember to regenerate it when data changes.
- Client wants regular automated updates: Set up a Report Builder schedule with PDF or email delivery.
- Agency wants full branding control: Configure White Label Setup before inviting any clients, and plan for manual project setup if migrating existing workspaces.
- Client wants historical domain metric or pillar comparisons: Use the live project dashboard with Viewer access — this is not available through snapshot links or Report Builder.
