🛠️ Report Builder — PDF Download & Public Share Link Troubleshooting

If your Report Builder PDF export fails or a public share link sends viewers to a login page, follow the section below that matches your symptom. Some issues have already been patched; one has a fix in progress.

Note: This article covers Report Builder only. If you are troubleshooting a PDF export failure in the GBP Audit Report, that is a separate issue (tracked as GBP-1225) resolved at the platform level — contact support if you still see that error.

🔍 Identify Your Symptom First

Match your symptom before following any steps — each issue has a different fix:

  • PDF export fails (logged-in user): clicking Export returns a 404 error, the file never downloads, or the button shows no response.
  • Shared link opens directly to the login page: opening a public share link sends the viewer to the Search Atlas login page instead of displaying the report.
  • Refresh button inside a shared report crashes to login: the viewer successfully opened the shared report, but clicking a Refresh control inside a section (e.g., AI Summary) redirected them to the login page mid-session.
  • Public share viewer cannot export PDF: someone viewing a report via a public share link clicks Export to PDF and receives a permission error from the generate-pdf request.

📄 Fix a Failed PDF Export (Logged-In User)

Follow these steps if your PDF does not download or returns an error while you are signed in:

  1. Reload the Reports → Report Builder (Report Builder) page and wait for the report to fully render before starting the export.
  2. Click Download .CSV again. Do not navigate away while the export is processing.
  3. Clear your browser cache, open a fresh tab, and retry the export.
  4. If the report spans a large date range or contains many widgets, shorten the date range and export again.

A successful export triggers a PDF download in your browser within a few seconds. If no download appears after 30 seconds, go to the If the Issue Persists section below.

🔗 Shared Link Opens Directly to the Login Page

If a public share link sends viewers to the login screen on the very first load, regenerate your share link:

  1. Open the affected report in Reports.
  2. Click the Share & Export button in the report (Reports → Report Builder → open report (Executive Summary)).
  3. Select Generate New Link, or toggle the public link off and then back on if no regenerate option is shown.
  4. Copy the new link and replace the old one everywhere you previously shared it.
  5. Test the new link in a private/incognito window to confirm it loads the report without prompting for login.

The new link opens the report directly for anyone who has the URL — no login required.

🔄 Refresh Button Inside a Shared Report Crashes to Login

Previously, a Refresh control was exposed inside certain sections of a public shared report (such as AI Summary). When a viewer clicked it, the session would crash and redirect them to the login page mid-session.

This has been fixed at the platform level — the Refresh button has been removed from public shared reports, so no action is required on your end. If you still see a Refresh button on a shared report or experience a redirect-to-login mid-session, contact support with the report URL so the team can investigate.

📤 Public Share Viewer Cannot Export PDF

If a viewer accessing a report via a public share link clicks Export to PDF and receives a permission error (the generate-pdf request is rejected), this is a known issue with a fix currently in progress but not yet released.

There is no self-service workaround available at this time. Contact Search Atlas Support via the in-app chat and include the share link and a screenshot of the error. The team will confirm the case and notify you when the platform update is released. In the meantime, exports performed by a signed-in user on the report owner's account continue to work normally.

If any symptom continues after completing the steps above, gather the following before contacting support:

  • The name of the report and the exact error message or behavior you see.
  • A screenshot of the error, if possible.
  • Your browser name and version, and your operating system.
  • Whether you are signed in or viewing via a public share link.
