Use Report Builder to create custom client reports by combining data from Google Search Console, Google Analytics, Backlinks, Keyword Rank Tracker, and Local Heatmaps. Deliver reports as downloadable PDFs or shareable public URLs on an automated schedule.
⚙️ Report Builder Setup
The setup wizard walks you through three phases: report settings, email delivery, and layout. Complete all three to generate your report.
Phase 1: Configure the report

Enter the URL of the page where the report will be created.

Click Create.

Select an existing Site Explorer project.

Define your Location, Date Range, and Connected Data (Left sidebar → Reports (Report Builder)).

Toggle each report integration On or Off as needed.

Enable or disable Generate AI Summary for any of the following integrations:
- Site Explorer
- Orders & Tasks
- OTTO SEO
- Google Analytics Project
- Google Search Console
- Facebook Ads
- Google Ads
- Local SEO
- Google Business Profile
- Keyword Rank Tracking

Click Next Step.
Phase 2: Set up email delivery
- Add report recipients.
- Set the email frequency: Weekly, Monthly, or Quarterly.
- Select the day of the week for delivery.
- Toggle dispatch status On or Off.
- Click Next Step.
Phase 3: Choose layout and create
- Select a Layout Style: Default or Custom.
- Click + Create. Your report is now generated.

📋 Portfolio Summary
The Portfolio Summary provides a high-level view of website search visibility and competitive positioning across all tracked domains.
What you'll see
- Domain Cards – One card per tracked website.
- Performance Insights – Short notes highlighting achievements such as keyword rankings or local SEO visibility.
- No Data Available – Shown when insufficient data is present for a domain.
How to use the Portfolio Summary
- Scan domain cards to identify strong performers.
- Review insights to understand what's driving results.
- Check any domain showing "No data available" to confirm its setup is complete.
How to access the Portfolio Summary
- Go to Sidebar → Reports → Report Builder (Report Builder).
- Review the Portfolio Health Score at the center of the dashboard.
- Check the distribution across Wins, Stable, and At Risk categories.
- To open a detailed AI Summary report, scroll down and click the project report, or click View Report.
📊 Portfolio Health Score
The Portfolio Health Score gives you a single number (0–100) that measures overall portfolio performance across all accounts. The score updates daily and assigns each site to one of three categories.
Score categories
- Wins – High-performing sites.
- Stable – Sites maintaining consistent performance.
- At Risk – Sites that need attention.
Calculation formula
Health Score = ((High Performer % × 100) + (Stable % × 50) + (At Risk % × 0)) / Total Reports
Score outputs
- Central health score (0–100)
- Percentage change (positive or negative) since the last update
Categorized accounts
Each account in your portfolio is assigned to one of the three categories above based on its performance data. Review the category distribution on the dashboard to see where your portfolio stands at a glance.
⚠️ Known Issues & Troubleshooting
Report Builder V3: Layout changes not persisting after save
- Status: Active bug under investigation by the engineering team.
- Internal Ticket: SPE-665 – "Report Builder V3 layout changes not persisting after save"
- Priority: Medium
- SLA: Resolution expected within 20 business days from escalation.
- Update Cadence: Weekly, or sooner if new information becomes available.
Symptom: After customizing the report layout in Report Builder and clicking Save, changes revert or do not persist when the report is reopened or regenerated.
Agent handling steps
- Replicate the issue on the customer's report.
- Confirm the customer is using Report Builder V3.
- Capture screenshots or a screen recording showing the steps taken and the reverted state.
- Escalate to the specialized team referencing ticket SPE-665. If this is a new instance, open a linked ticket with Medium priority.
- Communicate the SLA using this template: "Based on our SLA, we expect resolution within 20 business days. We will provide updates once per week or sooner if new information becomes available."
- For significant disruption, consider offering a goodwill gesture (e.g., a free month of service) per standard goodwill policy.
Customer-facing notes
- The issue is acknowledged and actively tracked by engineering.
- No end-user workaround is currently available — the fix must come from engineering.
- Customers will be notified directly once the fix is deployed.
