The Report Builder lets you schedule automatic email delivery of client reports on a recurring basis. If your scheduled reports are not arriving — or your client cannot find them — this article explains how delivery works, which sender address is used, and how to troubleshoot common issues.
🔍 How Scheduled Report Delivery Works
When you set up a scheduled report in Report Builder, Search Atlas automatically sends the report to the recipient email addresses you specify at your chosen frequency (weekly, monthly, or quarterly). No manual action is required after the schedule is saved.
To locate your reports and schedules, go to Left sidebar → Reports (URL: /report-builder/projects-list). From there you can create a new report, open an existing one, and manage its delivery schedule.
📧 Sender Address for Scheduled Reports
All scheduled report emails are sent from no-reply@searchatlas.com. This is important to know for two reasons:
- Client whitelisting: Ask your clients to add no-reply@searchatlas.com to their safe-senders list or contact their IT team to whitelist the domain searchatlas.com so reports are not filtered into spam or junk folders.
- Testing delivery: When testing whether a scheduled report is sending correctly, send it to your own inbox first and check that the email arrives from no-reply@searchatlas.com. If it lands in spam, mark it as safe and ask your client to do the same.
🛠️ Common Reasons Scheduled Reports Are Not Sending
If your clients are not receiving scheduled reports, work through the checklist below before escalating.
- Check the recipient email address. Open the report in Left sidebar → Reports, review the scheduled delivery settings, and confirm the client's email address is entered correctly with no typos.
- Verify the schedule is active. Confirm the schedule status is enabled. If the toggle is off, the report will not send.
- Check the client's spam or junk folder. Emails from no-reply@searchatlas.com can be filtered automatically. Ask the client to search their spam folder for the sender address and mark the email as safe.
- Confirm the send date and frequency. If the schedule was set up recently, the first send may not have occurred yet depending on the selected frequency and start date.
- Check for report errors. If the report contains a data source that has lost connection or encountered an error, delivery may be affected. Open the report and confirm all data widgets are loading correctly.
✅ How to Test Scheduled Report Delivery
Follow these steps to confirm your scheduled report is set up correctly before sharing it with a client.
- Go to Left sidebar → Reports and open the report you want to test.
- Open the delivery schedule settings for that report.
- Temporarily replace the recipient email address with your own email address.
- Trigger a test send or wait for the next scheduled send window.
- Check your inbox for an email from no-reply@searchatlas.com.
- If the email arrives correctly, update the recipient address back to your client's email and confirm the schedule is active.
💡 Tips for Smooth Client Report Delivery
- Always inform clients to expect emails from no-reply@searchatlas.com before the first scheduled send.
- Use a clear, descriptive report name so clients can easily identify the email in their inbox.
- If a client uses a corporate email domain with strict spam filters, ask their IT team to whitelist searchatlas.com at the domain level.
- Double-check the scheduled frequency matches client expectations — a monthly report set on the 1st will not send mid-month.
