Report Builder lets you generate and download reports for any date range, including data from previous months. If your scheduled monthly reports have stopped delivering, or you need to pull reports from the past three months, this article walks you through both tasks step by step.
🗂️ How to Access Report Builder
To open Report Builder, navigate to Left sidebar → Reports or go directly to /report-builder/projects-list. All your report projects are listed here.
📅 Retrieving Reports for a Past Date Range
Follow these steps to pull historical monthly reports for any prior period, including the last three months:
- Go to Left sidebar → Reports to open the projects list.
- Click the report project you want to retrieve historical data for.
- Locate the Date Range selector at the top of the report configuration screen.
- Set the Start Date to the first day of the earliest month you need (for example, the first day three months ago).
- Set the End Date to the last day of the most recent month you want to include.
- Click Generate Report (or Run Report, depending on your project type) to produce the report for that historical window.
- Once the report finishes processing, click Download to save it, or use the Share option to distribute it to your users.
Repeat this process for each report project you need to backfill. There is no limit on how far back you can set the date range, as long as data was being tracked during that period.
📬 Fixing Missing Scheduled Monthly Report Deliveries
If your monthly reports are not being delivered to users automatically, the most common causes are an incorrect delivery schedule, unverified recipient email addresses, or a report project that was accidentally paused. Work through the checks below:
- Check the schedule setting: Open the report project and go to its Schedule or Delivery settings. Confirm that the frequency is set to Monthly and that a valid send date is selected.
- Verify recipient addresses: Under the delivery settings, review the list of recipients. Remove any outdated addresses and re-enter current ones, then save.
- Confirm the project is active: Look for a status toggle or label on the project card. If the project shows Paused or Inactive, switch it back to Active.
- Check your spam or junk folder: Ask report recipients to search their spam folder for emails from Search Atlas. If found, mark them as safe so future deliveries land in the inbox.
- Re-save the schedule: Even if settings look correct, opening the schedule panel and clicking Save again can re-trigger the delivery queue for the next cycle.
After making any changes, use the Send Test Report option (if available) to confirm delivery is working before the next scheduled run.
💡 Tips for Managing Historical Data
- If you need separate files for each month, generate one report per month by adjusting the date range to cover a single calendar month at a time.
- Label your downloaded files clearly with the date range (for example, Report_April_2025.pdf) so they are easy to reference later.
- If a report project is missing data for a specific period, it may mean tracking was not active during those dates. Check when the project was originally created.

Additional Notes
Search Atlas automatically saves a copy of every monthly report generated for your projects. These reports remain accessible regardless of whether email delivery is active or paused. Historical reports are not deleted after delivery, so you can retrieve any prior month's report at any time directly from the platform.
