Report Builder lets you access reports generated in previous months using a built-in date range filter. If you are looking for reports from the past three or more months, you do not need to adjust any delivery or email settings — you simply need to apply the correct date range inside Report Builder. This article walks you through exactly how to do that.
🗂️ How Monthly Reports Are Stored
Search Atlas automatically saves a copy of every monthly report that is generated for your projects. These reports are stored in Report Builder and remain accessible regardless of whether email delivery is active or paused. Historical reports are not deleted after delivery, so you can retrieve any prior month's report at any time directly from the platform.
🔍 How to Retrieve Reports from Prior Months
- Log in to Search Atlas and click Reports in the left sidebar. This takes you to the projects list at /report-builder/projects-list.
- Select the project whose historical reports you want to view by clicking its name.
- Once inside the project, locate the date range selector near the top of the report view. By default, this is set to the current month.
- Click the date range selector to open the calendar picker.
- Set your start date to the beginning of the earliest month you want to retrieve — for example, the first day three months ago.
- Set your end date to the last day of the most recent month you want to include.
- Click Apply or Update to load the reports that fall within that range.
- Your historical reports for the selected period will now appear in the list. Click any report to open it, or use the download option to export it.
📆 Retrieving the Last Three Months Specifically
If your goal is to pull reports from the past three months, follow the steps above and set your start date to the first day of the month that is three months before today. For example, if today is late July 2026, set the start date to May 1, 2026 and the end date to July 31, 2026. All monthly reports generated for your project within that window will be returned.
⬇️ Downloading Historical Reports
Once your filtered reports are visible, you can download individual reports or multiple reports at once:
- Single report: Click the report to open it, then select the Download or Export button in the top-right corner.
- Multiple reports: Use the checkboxes next to each report in the list, then click the bulk Download option that appears in the action bar.
Reports are exported as PDF or the format configured for your project. If no format has been set, the default export will be used.
⚠️ Common Reasons Reports May Not Appear
If you apply a date range but no reports are returned, consider the following:
- Report generation was paused: If report generation was disabled for a project during a specific period, no report will have been saved for those months. Check the project's report schedule settings to confirm reports were active.
- Wrong project selected: Confirm you are inside the correct project. Each project maintains its own separate report history.
- Date range too narrow: Monthly reports are saved once per month. Make sure your date range spans at least one full calendar month.
- Project created recently: Reports only exist from the month the project was first set up. There will be no data for months before the project existed.
📧 Note on Email Delivery vs. Report Storage
Email delivery settings control whether reports are sent to recipients each month — they do not affect whether reports are saved in Report Builder. Even if email delivery failed or was never configured, your monthly reports are still stored in the platform and accessible via the date range filter described in this article. You do not need to modify recipient lists, email frequency, or spam filter settings to retrieve historical reports.
