This article covers three common issues Search Atlas customers encounter when managing Google Business Profile (GBP) features and whitelabel reports: review reply automation pulling already-answered reviews, automated GBP posts not appearing for approval, and correctly linking GBP with whitelabel report configuration. Follow each section that applies to your situation.

⚠️ Why Is Review Reply Automation Flagging Already-Responded Reviews?

Review reply automation scans your GBP for unanswered reviews. In some cases, reviews that already have a reply are incorrectly surfaced as tasks. This usually happens for one of the following reasons:

  • Sync delay: Search Atlas periodically syncs review data from Google. If a reply was posted recently — either manually or through another tool — the platform may not yet reflect the updated status, causing the review to appear unanswered.
  • Reply posted outside Search Atlas: Replies made directly in Google Business Manager or a third-party tool may not immediately update the review's status inside Search Atlas until the next sync cycle.
  • Duplicate automation rules: If multiple automation rules target the same review category or star rating, a review can be picked up by more than one rule and generate duplicate tasks.

To resolve this:

  1. Navigate to OTTO SEO → SEO Automation in the left sidebar (or go to /seo-automation-v3).
  2. Open your active review reply automation and click Edit.
  3. Check that no two rules share overlapping filters (e.g., the same star rating range).
  4. Allow up to 24 hours for Google sync to complete and re-check whether the false tasks have cleared.
  5. If a specific review continues to appear incorrectly, manually mark it as resolved inside the task list to remove it from the queue.

📝 Why Are Automated GBP Posts Not Generating for Approval?

When automated GBP posts are configured but do not appear in your approval queue, the most common causes are a disconnected GBP account, an incomplete automation setup, or a scheduling conflict.

Work through the following checks in order:

  1. Confirm GBP is connected: Go to OTTO SEO → SEO Automation → select your project → open Settings. Under the Connections tab, verify that your Google Business Profile account shows a green Connected status. If it shows disconnected or an error, click Reconnect and complete the Google OAuth flow.
  2. Check the automation rule status: In the left sidebar, go to Local (GBP Projects) and locate your GBP post rule. Confirm the toggle is set to Active. A paused or draft rule will not generate posts.
  3. Review the posting schedule: Open the rule and confirm the frequency, time zone, and start date are set correctly. If the start date is in the future, no posts will be generated yet.
  4. Verify approval workflow settings: If your rule requires manual approval before publishing, posts will appear in the Pending Approval queue — not auto-publish. Check that queue inside the automation panel to see if posts are waiting there.
  5. Location-level permissions: For agency accounts managing multiple locations, ensure the specific location has GBP posting enabled and that the connected Google account has Manager or Owner permissions on that location in Google Business Manager.

After confirming all settings, save the rule and allow up to one full scheduled cycle for a new post to generate.

🔗 How to Correctly Link Google Business Profile

A properly linked GBP account is required for both review automation and post automation to function. Follow these steps to link or re-link your profile:

  1. Go to OTTO SEO → SEO Automation in the left sidebar.
  2. Select the project you want to configure.
  3. Click Settings, then open the Connections tab.
  4. Go to Local → GBP Projects and click Connect GBP Account.
  5. Sign in with the Google account that has Manager or Owner access to the GBP location.
  6. Select the correct Business Account and then the specific Location from the dropdown menus.
  7. Click Save to confirm the connection.

Important: If you manage multiple locations, repeat this process for each project. Each project should be linked to one GBP location.

📊 How to Configure Whitelabel Reports

Whitelabel reports allow you to present Search Atlas data under your own brand. Here is how to set them up correctly:

  1. Go to Reports → Report Builder in the left sidebar (or navigate to /report-builder/projects-list).
  2. Select an existing report project or click + Create (Report Builder).
  3. Open the Branding tab inside the report editor.
  4. Upload your logo, set your brand colors, and enter your agency name. All Search Atlas branding will be replaced with yours in the final report.
  5. To include GBP data (reviews, posts, insights) in the report, add a GBP module from the module library. The module will pull data from the GBP account linked to the selected project.
  6. Confirm the correct project is selected at the top of the report builder so the GBP data source matches the intended location.
  7. Click Save, then use the Share or Export options to deliver the whitelabeled report to your client.

Tip: If GBP data is missing from the report module, verify that the GBP account is connected at the project level (see the section above) and that at least one sync has completed after the connection was made.

✅ Quick Troubleshooting Checklist

  • False review tasks: Check for overlapping automation rules and wait for the next sync cycle (up to 24 hours).
  • GBP posts not generating: Confirm GBP is connected, automation rule is active, and schedule/start date are correct.
  • GBP link issues: Reconnect via OTTO SEO → SEO Automation → Settings → Connections using an account with Manager or Owner permissions.
  • Whitelabel report missing GBP data: Ensure the report is linked to the correct project and GBP is connected at the project level.
