Get a high level overview of your Search Atlas projects.

The Portfolio AI Summary provides an automated health score for your portfolio, giving you a clear view of overall website performance at a glance. The score updates every 24 hours and is based on the number of sites classified as Wins, Stable, or At Risk.

This tool helps you understand account health, track trends, and identify problem areas quickly, without manually reviewing every report.

Access Path

Open Report Builder.

  1. In the Portfolio Summary view, locate one of the domains listed under:

    • Trending Up

    • Stable

    • Trending Down

How the Portfolio Health Score Works

The health score is recalculated every 24 hours.

Websites are grouped into three categories:

  • Wins (Green) → Performing well

  • Stable (Yellow) → No significant changes

  • At Risk (Red) → Declining or showing issues

Example distribution:

  • 46 websites in Wins

  • 9 websites in Stable

  • 224 websites At Risk

Based on this distribution, the system generates the Portfolio Health Score, which reflects the overall status of your accounts.

View Your Portfolio Summary

  1. Open Sidebar > Report Builder

  2. Select Portfolio Summary

  3. Review the Portfolio Health Score at the center of the dashboard

  4. Check the distribution across Wins, Stable, and At Risk categories

How Portfolio Summary is Calculated


1. Portfolio Health Score

The Portfolio Health Score provides a single, central measure of portfolio performance across all accounts.

    Outputs:

    • Central health score (0–100).

    • % change (positive or negative).

2. Categorized Accounts API


Accounts are categorized into three groups based on their performance.

:large_green_circle:

Biggest Wins

  • Accounts with ≥ +5% WoW improvement in Health Score.

  • Top 5–10 accounts highlighted individually.

  • Additional accounts grouped under “+X more.”

:large_yellow_circle:

Stable

  • Accounts with between -2% and +4% WoW change.

  • Small natural fluctuations are considered stable.

:red_circle:

At Risk

  • Accounts with ≤ -2% WoW decline in Health Score.

  • Top 5 riskiest accounts highlighted, others grouped under “+X more.”


3. Update Frequency

  • All categorization and health score calculations are updated daily.


4. Secondary Metrics (Per Account)
Each account includes a secondary data line of source attribution.
Examples:

  • GA4: Total Users

  • GSC: Clicks

  • GBP: Calls or Impressions

  • KRT: Keywords in Top 10

  • GBP: Average Rank

The system should clearly indicate which source each number is derived from.

5. Categorization Data Source Priority


To decide which metric drives categorization, the system follows this order of preference:

  1. GA4 – Total Users

  2. GSC – Clicks

  3. GBP – Impressions

  4. KRT – Keywords in Top 10

  5. GBP – Average Rank

  6. Fallback: If none of the above are available → account is placed in At Risk.

6. Categorization Data Source Priority

  • GA4 → GSC → GBP (Impressions) → KRT → GBP (Avg. Rank)

  • Fallback: If no data → account placed in At Risk.

🆕 Editable Executive Summary Improvement

We’ve enhanced the Executive Summary section in Report Builder to make it fully editable and customizable.


Users can now easily update, format, and tailor the summary text before finalizing their reports, giving agencies more control over how they present insights to clients.

  • Editable content: Modify text directly within the Executive Summary area.

  • Rich formatting support: Add emphasis, headings, and bullet points for a cleaner presentation.

  • Improved stability: The updated backend handling ensures smoother editing with reduced data loss.

This update helps agencies personalize their reports, ensuring every client receives a summary that reflects their goals, results, and tone without needing external editing tools.

Access Path

Open Report Builder.

  1. In the Portfolio Summary view, locate one of the domains listed under:

    • Trending Up

    • Stable

    • Trending Down

  2. Click on a specific project/domain (e.g., searchatlas.com).

  3. The system will open the Executive Summary view for that selected project.

Refresh Data

✅ To update your summary, click Refresh Data
✅ Processing time depends on the total number of reports in Report Builder
✅ Once refreshed, the health score and categories will display the most recent insights

Glossary

  • Portfolio Health Score – A single number summarizing the performance of all sites in your portfolio

  • Wins (Green) – Sites showing strong, positive performance

  • Stable (Yellow) – Sites holding steady with no significant changes

  • At Risk (Red) – Sites showing negative trends or needing attention

❓ How often does the Portfolio Health Score update?

Every 24 hours.

Can I refresh data manually?

Yes. Use the Refresh Data button to update the portfolio summary instantly.

❓ Why does refreshing take time?

The calculation depends on the number of reports in your Report Builder—larger portfolios require more processing time.

Can I export the portfolio summary?

Yes. Use the Download CSV option in the top-right corner of the dashboard.
