📬 What This Email Means
Link Laboratory emails you when a publisher does not accept one of your placements, or when that publication becomes unavailable. The subject is "Action Required — {publication name} on Order #{order id}", and the message names that one publication and Order number. It tells you to log in to your Link Laboratory account, open your Orders page, find that order, and choose an alternative publisher from the suggested options. If more than one placement is affected, each rejection sends its own email. Later reminder and final-notice emails can list every affected publication together.
You don't need to panic. A replacement is a normal part of managing link placements, and your order is still being handled.
❓ Do Both Placements Need to Be Replaced?
Only the placements named in the email need a replacement. The first email names exactly one publication. A later reminder or final notice lists every placement on that order that is still waiting for your choice under "Affected publications" or "Awaiting your choice for".
- Open the email and look at the list of placements or URLs it mentions.
- If it names two placements, both are affected.
- If it names only one, the other stays as it is.
- Compare the list with the placements in your Link Laboratory account to confirm.
If the email is unclear about which placements are affected, ask our team before you reply (see the last section).
✉️ Should I Reply to the Email or Tell You My Choice Elsewhere?
Follow the instructions written in the email itself. They tell you how to submit your choice, and they take priority over any general advice.
- Read the email from top to bottom and find the section that says what you need to do.
- If it offers replacement options, note which option you prefer for each affected placement.
- If it asks you to reply, answer in the same email thread so your response stays linked to your order.
- If it points you to a link or a page in your account, use that instead of replying.
- Every replacement email already tells you what to do: open the order from the link in the email and, for each listed placement, select a suggested site, choose "Choose for me", or choose "Refund HDC instead". If you still need help, open the chat widget in your Link Laboratory account and contact the team. The Day 3 final notice also says you can reply directly to that email.
📝 What to Include in Your Response
A clear, complete answer helps your replacements get processed without back-and-forth. Include:
- Which placement each choice applies to, such as the URL or the placement name shown in the email.
- Your preferred replacement for each one, if options were offered.
- Any requirements you have, such as topic relevance or the page you want linked.
If you have two affected placements, address both in the same message so nothing gets missed.
💡 Tips to Avoid Delays
- Respond as soon as you can, since waiting may slow down your replacement.
- Keep your answer short and specific.
- Don't send separate messages for each placement unless the email asks you to.
- Keep the original email so you can refer back to it.
