📅 How to Schedule Team Onboarding Sessions

Last updated on Nov 05, 2026

👥 What a team onboarding session covers

A team onboarding session is a guided walkthrough of Search Atlas for you and your colleagues. It helps everyone understand the main workflows, where to find key tools, and how to start using the platform together. Sessions are personalized to your account, goals, and the features your team needs most.

Typical topics include account navigation, project setup, core SEO workflows, roles and responsibilities, and answers to questions your team already has. The session is meant for learning and planning, not for one-off troubleshooting of a single ticket.

✅ Who should join

Invite the people who will use Search Atlas day to day. That often includes the account owner, SEO or content leads, and anyone who will review reports or publish work. A smaller group usually learns faster. If several departments need training, ask for one focused session first and a follow-up later.

  • Account owner or admin so permissions and projects can be confirmed.
  • Day-to-day users who will run campaigns and check results.
  • Stakeholders who only need a short overview of reports and next steps.

📝 What to prepare before you request a session

A short brief helps the support team match the session to your needs. Gather this information before you open chat:

  1. Attendees: names, roles, and how many people will join.
  2. Goals: what the team wants to understand, such as site audits, content, or reporting.
  3. Timing: two or three preferred dates and time zones.
  4. Account context: the workspace or projects you want reviewed.
  5. Questions: a short list so the session stays focused.

Ask teammates to log in before the session and to have the projects they care about ready. If someone is new to the account, an admin should confirm they can access the right workspace.

💬 How to request the session

Eligible free-trial accounts can open More features and select Book 1-1 Call under Book Your 1-1 Onboarding Call, or open Launch Lab and select Book your launch lab. Choose an available time in the embedded calendar. If the calendar fails to load, use the direct booking link provided. The bottom-right chat widget is a separate channel for support questions. If you need further assistance, open the chat widget in the bottom-right corner of the platform and send your message. A member of our support team will reply in the chat.

🗓️ What happens after you send the request

A member of our support team will reply in the chat to confirm details and propose a time. Watch the same conversation for the confirmation and any prep notes. Share the confirmed time with your teammates and ask them to join from a quiet place with Search Atlas open.

  • If your booked time no longer works, check your booking confirmation for rescheduling instructions. If you cannot find them or need assistance, contact support through the bottom-right chat widget. Sending a chat message does not itself confirm a meeting change.
  • Add or remove attendees before the session if your group changes.
  • Send extra questions through the bottom-right chat widget. That chat is separate from the calendar booking.

🚀 How to get the most from the session

Start with outcomes, not every feature. Tell the guide what success looks like for the next 30 days. Assign one person to capture action items and owners. After the call, review those notes with anyone who could not attend and repeat the same steps in your own projects.

After onboarding, open the chat widget in the bottom-right corner and describe your question and what you already tried. Include the project name if it helps support identify the relevant project. 🛠️ If plans change

To reschedule, check your booking confirmation for rescheduling instructions. For attendee or agenda changes, contact support through the bottom-right chat widget and include the original meeting time and your requested change. Ask support how to proceed, and wait for confirmation before treating any change as complete.
