Search Atlas gives you three distinct ways to share dashboards and reports with clients. Each method suits a different situation, so choosing the right one depends on how often your client needs access, how much control you want to give them, and whether they need a branded experience.

- **White-label portal login** — clients self-serve inside a branded portal
- **Exported reports via Report Builder** — you send a polished document on demand
- **Team member access with viewer or admin role** — clients log in directly to your Search Atlas workspace

## **🏷️ Option 1: White-Label Portal Login**

The white-label portal lets you create a fully branded client-facing environment. Clients receive their own login credentials and can view only the data you choose to expose — without seeing your internal workspace.

**Best for:** Retainer clients who need ongoing, self-serve access to their own data under your agency brand.

**How to set it up:**

1. Navigate to your agency settings and open the **White-Label** section.
2. Configure your branding (logo, colors, domain) if you have not done so already.
3. Create a client portal and assign the relevant projects or dashboards to it.
4. Generate login credentials for your client and share them securely.

Once set up, the client logs in at your branded URL and sees only their assigned data. You retain full control over what is visible and can update it at any time.

## **📄 Option 2: Export Reports via Report Builder**

If your client does not need live access — or you prefer to control exactly what they see before it goes out — exporting a report as a document is the simplest approach. Report Builder lets you compose professional, fully customizable reports that can be downloaded and sent as a file.

**Best for:** Monthly reporting deliverables, one-off audits, or clients who prefer to receive a PDF or document rather than logging into a platform.

**How to export a report:**

1. Go to **Left sidebar → Reports** (URL: `/report-builder/projects-list`).
2. Open an existing report project or create a new one by clicking **New Project**.
3. Add the data widgets, charts, and commentary relevant to your client.
4. When the report is ready, click the **Export** or **Download** option to generate a shareable document.
5. Send the file to your client via email or your preferred delivery method.

You can save report templates and reuse them each month, which makes this method efficient for recurring deliverables.

## **👤 Option 3: Add a Client as a Team Member**

You can invite a client directly into your Search Atlas workspace as a team member. When you do this, you assign them a role that controls what they can see and do:

- **Viewer** — can browse dashboards and reports but cannot make changes.
- **Admin** — has broader access and can edit settings. Use this role with caution for clients.

**Best for:** Trusted clients who are comfortable working inside a SaaS tool and need real-time access to live data without a separate portal.

**How to add a client as a team member:**

1. Open the account menu (person icon, top-right) and navigate to **Team Members**.
2. Click **Add member** and enter your client's email address.
3. Select the appropriate role — choose **Viewer** for read-only access in most client situations.
4. Confirm the invitation. Your client will receive an email prompting them to set up their account.

Note that team members with viewer access can see the areas of the platform you grant them. Review your workspace data carefully before using this method, as clients will be inside your main account environment rather than an isolated portal.

## **🧭 Decision Framework: Which Method Should You Use?**

- **Use the white-label portal** when you want a branded, client-specific environment and the client needs ongoing self-serve access without seeing your internal workspace.
- **Use Report Builder exports** when you send reports on a schedule, want to control the narrative before sharing, or your client prefers receiving a document over logging into a tool.
- **Add as a team member (Viewer)** when you have a hands-on client who wants live, real-time access and you are comfortable with them navigating your workspace directly.

You can also combine methods — for example, send a monthly exported report *and* give the client portal access for day-to-day check-ins.

- For most agency workflows, the white-label portal is the most professional and scalable long-term solution.
- If a client only asks questions during monthly reviews, exports alone may be all you need.
- Always assign the **Viewer** role rather than Admin when inviting clients as team members unless they have a specific reason to need editing permissions.
- Report Builder templates save significant time when you manage multiple clients with similar reporting needs.
