If you manage multiple Search Atlas workspaces and want to bring everything under one account — including your active plan, projects, and login credentials — this article walks you through what's possible and how to get it done efficiently. Billing adjustments and refund requests related to consolidation are also covered below.
🔍 What Workspace Consolidation Involves
Consolidating two workspaces means combining all your work into a single account. This typically includes:
- Migrating projects, campaigns, and data from one workspace to another
- Transferring your active subscription (e.g. a Pro plan) to the destination account
- Cancelling or closing the redundant workspace
- Updating the primary login email on the consolidated account
- Requesting a refund or account credit for any overlapping or unused charges
Because consolidation touches your subscription, billing history, and account credentials, it requires our team to handle the migration manually on the backend. You cannot fully complete this process through the UI alone.
⚙️ Step 1 — Identify Your Source and Destination Workspaces
Before contacting support, gather the following information so the process moves quickly:
- Source workspace: The account you want to close or merge from (e.g. the secondary email login)
- Destination workspace: The account you want to keep and consolidate everything into
- Login email update: If you want the destination account's login email changed, have the new email address ready
- Invoices to review: Note the invoice numbers, amounts, and date ranges you believe qualify for a refund or credit
📧 Step 2 — Update Your Login Email (If Needed)
If you need to change the primary login email on your consolidated workspace, here is what to prepare:
- Confirm the new email address is not already associated with another Search Atlas account
- Make a note of the current login email and the desired new email
- Our support team will update this on the backend once consolidation is confirmed
Note: Email changes cannot be made from inside the account settings UI by the account owner — this requires backend access by our team.
💳 Step 3 — Understand Refund and Credit Eligibility
When two workspaces are consolidated, you may have been charged for overlapping subscriptions. Here is how refunds and credits are typically assessed:
- Duplicate plan charges: If both workspaces were on paid plans simultaneously, overlapping charges may qualify for a refund or account credit
- Unused subscription period: If a workspace is closed before its billing cycle ends, a prorated credit may be applied
- Account credit vs. refund: Credits are applied to your remaining balance on the consolidated account; refunds are returned to the original payment method depending on eligibility
📋 What to Have Ready When You Contact Support
To help our team process your consolidation request as quickly as possible, please have the following ready:
- The login email addresses for both your source and destination workspaces
- The name of any projects you need migrated
- The new login email you want on the consolidated account (if applicable)
- Relevant invoice numbers or charge dates for any refund or credit request
